Job Summary

Reporting to the Director of Finance, the BOA is responsible primarily for ensuring that the registration of customers' cars is done correctly and in a timely manner.  There are several other duties entailed in the position. Customer service is the basic function

Primary Responsibilities

  • Ensure correct registration of title to vehicles sold;

  • Liaise with customers, insurance companies, PALMs and PA/PS with respect to registration    documentation;

  • Stock in trade-in cars

  • Complete reports to Registry on a weekly basis;

  • Register Toyota Extra Care Protection Plans and Toyota Certified Used Vehicle Plans;

  • Monitor Insurance on In-house leases and follow up with customers if not received;

  • Discharge Security Agreements for administration Office;

  • Collections on delinquent In-House Lease;

  • Co-ordinate with Delivery department and provide documents for customers - operation books and Make a Date;

  • Register vehicles with Toyota Canada;

  • Assist Pre-Owned department with registrations as required;

  • Request, analyze and report on Carproof documentation;

  • Manage Trisura re-insurance claims;

  • Respond to a variety of customer requests;

  • Prepare and present short seminars for new PA/PS on Heninger procedure;

  • Other duties as they may arise from the Administration Office and/or customer requests


Skills and Qualifications


  • Close attention to detail;

  • Computer skills with Trackvia, Toyota's proprietary software, ERA, Word, Gmail and other programs as required;

  • Excellent customer service ability - telephone and email contact with customers and insurance companies;

  • Able to handle stressful, busy periods;

  • Able to work with numerous in office groups - PALM, PA/PS, Administration, Delivery;

  • Able to establish and maintain excellent relationships with outside suppliers and internal staff;

  • Be a 'people person'
